Most Australian AI firms don't publish a price list, and the ones that do give wide ranges. That isn't evasion: the cost of an AI project depends more on your data, your systems and how much risk you can accept than on the model itself. This guide breaks down where the money goes, what each stage typically costs and how to get quotes you can compare.
Published price ranges
One of the more detailed public price lists from an Australian firm is Sandlabs' March 2026 guide to custom AI development. Its figures are below. The guide does not state a currency, though it appears to mean Australian dollars, and it was written by a firm that sells these services. Treat it as a rough benchmark, not a market survey.
| Project type | Build cost | Timeline | Monthly running cost |
|---|---|---|---|
| Simple AI automation | $5K–$15K | 1–3 weeks | $200–$500 |
| Single AI agent | $15K–$40K | 2–6 weeks | $300–$1K |
| Document processing pipeline | $15K–$60K | 3–8 weeks | $300–$2K |
| AI product feature | $20K–$80K | 4–10 weeks | $500–$3K |
| Multi-agent system | $40K–$120K | 4–12 weeks | $500–$5K |
| Enterprise AI platform | $80K–$200K+ | 3–6 months | $2K–$10K |
What pushes the cost up or down
The model itself is often not the biggest line item. These factors usually decide where a project lands in a range:
- Data readiness. If your data is scattered across spreadsheets, inboxes and old systems, expect a large share of the early budget to go on finding, cleaning and labelling it.
- Integrations. Each system the AI must read from or write to adds work. The Sandlabs guide adds $3K–$8K per integration.
- Security, scale and languages. The same guide adds 20–40% for security and compliance requirements, 15–30% for high availability, 10–25% for higher volumes and 15–25% for multi-language support.
- Custom model training. Calling an existing model through an API is cheapest. Training or fine-tuning your own adds $10K–$30K in the Sandlabs figures, and more for large models.
- Accuracy targets. Going from "mostly right" to "right enough to act on without a human check" can cost as much as the first version. Agree the target before anyone quotes.
Typical project stages and what each costs
Well-run projects are split into stages, each ending in a decision, so you can stop or change direction before the big spend.
- Discovery (1–2 weeks). The firm reviews your process and data, defines success measures and recommends an approach. Sandlabs prices a discovery sprint at $5K–$15K.
- Proof of concept. A small working version tested on your real data, to find out whether the accuracy target is reachable. Ask for a written result against an agreed test set.
- Build. Production-quality code, integrations, security, user interface and testing. This is the bulk of the cost in the table above.
- Deployment and early tuning. Real users find problems a test set misses. Sandlabs suggests budgeting an extra 20% for post-launch tuning.
- Run and support. Monitoring, retraining, model upgrades and fixes. Sandlabs lists support at $5K–$15K a month.
Build, buy or configure?
Not every AI need calls for a custom build.
| Option | What it looks like | Cost pattern | Best when |
|---|---|---|---|
| Buy | An AI feature inside software you already pay for, or a ready-made AI product | Per-seat or usage fees, little set-up | The task is common, such as meeting notes or drafting emails |
| Configure | A platform tailored to your data and workflows, such as Copilot agents or an automation tool | Licences plus a services project | Your process is fairly standard but needs your data and rules |
| Build | Custom models, agents or devices that you own | Higher up-front cost, then ongoing maintenance | The AI is a competitive advantage, the data is sensitive, or nothing off the shelf fits |
Firms in our directory span all three. Data#3 works on Microsoft 365 Copilot and agents, Osher Digital builds automations with tools such as n8n, and Quantium, Kablamo and Cognitivo build custom systems. Price each option over three years: a cheap licence can grow expensive with headcount, and a custom build carries maintenance.
Running costs after launch
Ongoing costs are easy to underestimate. The Sandlabs guide lists:
- AI model usage (API tokens): $200–$5,000 a month
- Hosting, databases and monitoring: $100–$2,000 a month
- Maintenance: 15–20% of the build cost each year
Many hosted model providers price in US dollars, so check the currency on your provider's pricing page; your bill will move with the exchange rate. Usage scales with users and documents, so model what happens at double and triple today's volume.
Hardware and edge AI projects
When AI has to run on a robot, vehicle, camera, sensor or handheld tool, the budget changes shape. You swap some ongoing cloud costs for engineering and hardware costs up front. Expect these extra lines:
- Hardware selection. The chip sets the ceiling. NVIDIA's Jetson module range, for example, runs from the Orin Nano (up to 67 TOPS at 7–25 W) to the AGX Orin (up to 275 TOPS). More performance usually means more cost, power and heat.
- Model compression. Distillation, pruning and quantisation shrink a model to fit the chip while keeping the accuracy you need. This is specialist work with its own evaluation.
- Custom boards. If an off-the-shelf module doesn't fit the size, power or cost target, a custom printed circuit board needs schematics, layout, firmware and power budgeting, plus prototype runs.
- Compliance testing. Many electronic products supplied in Australia must carry the Regulatory Compliance Mark, and their suppliers must register as a responsible supplier, as the EESS explains. Budget for testing against the relevant ACMA standards, such as EMC and, for wireless devices, radio.
- Field testing and fleet updates. Devices need trials in real conditions and a safe way to push model and firmware updates once deployed.
The trade can pay off. On-device inference removes the usage bill entirely, keeps data on site and keeps working offline, which over a large fleet or a long product life can outweigh the higher up-front cost.
Because hardware, model and software decisions affect each other, there is a case for one team owning all three: fewer hand-offs, and fewer surprises when a board can't run the model you trained. Sydney's Vedametric works this way, specifying the model, hardware and software together before it trains, lays out boards, writes code and measures results in the field. Ask any edge AI firm to price each stage separately, so you can stop after a prototype if the numbers don't work.
How to get a reliable quote
Vague briefs produce quotes with wide margins for risk. Give every firm the same pack: a short problem statement, sample data with an honest note on its quality, a success measure, the systems involved, expected volumes in year one and year three, and where data and models must live.
Then ask each firm to quote in the same structure: a fixed price for discovery, a fixed or capped price for the build with its assumptions stated, and itemised monthly running costs. Ask what is excluded, how change requests are priced and who owns the code and model at the end.
The R&D Tax Incentive
If your AI project involves genuine experimentation, the federal R&D Tax Incentive may offset part of the cost. According to the ATO:
- Eligible entities with aggregated turnover under $20 million, and not controlled by income tax-exempt entities, can get a refundable tax offset equal to their company tax rate plus an 18.5% premium.
- Other eligible entities get a non-refundable offset equal to their company tax rate plus 8.5% for R&D spending up to 2% of total expenditure, and 16.5% above that.
Not all AI work qualifies. Core R&D activities must be conducted to generate new knowledge, and their outcome must be something a competent professional cannot know or determine in advance without experiments. Plugging a standard model into a standard workflow is unlikely to meet that test.
The government announced changes in the 2026–27 Budget that start from 1 July 2028; the current rules apply until then. Get advice from a registered tax adviser before relying on the offset, and keep records of your experiments as you go.
State support
Some states also fund early AI work. See our Perth guide for WA's Innovation Booster Grant, our Brisbane guide for Queensland's AI programmes and our Melbourne guide for Victoria's AI Mission Statement.
Common questions
How much does an AI proof of concept cost in Australia?
Published figures vary. Sandlabs' March 2026 guide prices a discovery sprint at $5K–$15K and a simple AI automation at $5K–$15K. A proof of concept for a harder problem, or one that needs a lot of data work, will cost more. Ask for a fixed price tied to a clear test.
What does an AI system cost to run each month?
The same guide lists $200–$5,000 a month for model usage and $100–$2,000 for hosting and monitoring, plus maintenance of 15–20% of the build cost a year. Volumes, model choice and the exchange rate all move these numbers.
Can AI development be claimed under the R&D Tax Incentive?
Sometimes. Core activities must generate new knowledge through experiments whose outcome cannot be known in advance, so routine integration work is unlikely to qualify. Eligible companies with aggregated turnover under $20 million can get a refundable offset of their company tax rate plus 18.5%. Get advice from a registered tax adviser.
Is edge AI more expensive than cloud AI?
Usually more up front, because of hardware, model compression and compliance testing, but on-device inference has no usage bill. For large fleets or long product lives it can cost less overall. Ask for a three-year comparison.
